Ovation Coaching Website: ovation.coach
Effective Date: August 14, 2026
Ovation Coaching (“Ovation Coaching,” “we,” “us,” or “our”) respects the privacy of the visitors and clients who use our website at ovation.coach (the “Site”). This Privacy Policy explains what information we collect through the Site, how we use it, how it is shared, and the choices you have. By using the Site, you agree to the practices described in this Policy.
1. Who We Are
Ovation Coaching is a coaching practice based in Annapolis, Maryland, offering executive, personal, and corporate coaching, emotional intelligence (EQ) assessments, workshops, and retreats. We serve clients located in the United States.
If you have any questions about this Policy or your information, you can reach us at:
Email: amy@ovation.coach Phone: 410.268.1240
2. Information We Collect
We collect information that you choose to provide through the Site, along with limited information collected automatically. Specifically:
Information you give us directly:
- Contact / “Get in Touch” form — such as your name, email address, phone number, and the content of your message.
- Newsletter signup — your name and email address, if you subscribe to updates. Our email list is managed through AWeber, and your subscription information is stored on AWeber’s platform.
- Session scheduling — when you book through our Calendly scheduler, you provide information such as your name, email, and details about the session you’re booking. This information is handled through Calendly.
- Purchases (programs, workshops, retreats) — when you buy through our WooCommerce checkout, we collect information such as your name, email, billing details, and what you purchased. Payments are processed by PayPal or Stripe; your card and financial details are entered on and handled by those processors, and we do not receive or store your full card number.
- Retreat and program registration details — for certain retreats and in-person programs, we ask for health, dietary, and allergy information so we can keep you safe and accommodate your needs. This information is used only to plan and run the program you register for, and is not used for any other purpose.
- Coaching engagement information — when you work with us as a client, we may keep records related to your coaching engagement.
Emotional intelligence (EQ) assessments:
If you complete an EQ-i2.0 assessment with us, the assessment is administered through a third-party assessment provider, and your responses and results are processed on that provider’s platform. Assessment results are not stored on this Site. Results are shared with you as part of your coaching, and we handle any copies in our possession as confidential client information.
Information collected automatically:
- Basic technical data — like most websites, our web server and WordPress software may log standard information such as your IP address, browser type, and pages visited, for security and site-operation purposes.
- Google Analytics — we use Google Analytics to understand how visitors use the Site so we can improve it. Google Analytics uses cookies and similar technologies and may collect information such as your IP address, device and browser details, and pages viewed. This information is processed by Google. You can learn more in the Google Privacy Policy (https://policies.google.com/privacy), and you can opt out using Google’s browser add-on (https://tools.google.com/dlpage/gaoptout).
3. How We Use Your Information
We use the information we collect to:
- Respond to your inquiries and communicate with you;
- Schedule and provide coaching sessions, assessments, workshops, and retreats;
- Process purchases and payments;
- Keep you safe and accommodate your needs at in-person programs (for health, dietary, and allergy information);
- Send you newsletter updates if you have subscribed;
- Understand and improve how our Site is used;
- Keep records related to our coaching relationship;
- Comply with applicable legal, tax, and accounting obligations.
We do not sell your personal information, and we do not use it for third-party advertising.
4. How Your Information Is Shared
We share information only as needed to operate our Site and provide our services, including with:
- PayPal and Stripe — to process payments. Their handling of your information is governed by their own privacy policies (PayPal: https://www.paypal.com/us/legalhub/privacy-full; Stripe: https://stripe.com/privacy).
- AWeber — to manage our newsletter and send email updates (https://www.aweber.com/privacy.htm).
- Calendly — to schedule sessions (https://calendly.com/privacy).
- Our EQ assessment provider — to administer EQ-i2.0 assessments, as described above. Your assessment information is handled on that provider’s platform under its own privacy terms.
- Google — in connection with Google Analytics, as described above.
- Service providers who help us operate the Site or our practice, bound to protect the information.
- Legal and safety reasons — if required by law, or to protect the rights, safety, or property of Ovation Coaching, our clients, or others.
We treat coaching engagement information and EQ assessment results as confidential and do not share them except as needed to provide services to you, with your direction, or as required by law.
5. Cookies
Our Site uses cookies and similar technologies for two main purposes: those necessary for basic WordPress and WooCommerce functionality (for example, keeping your shopping cart and checkout working), and those used by Google Analytics to understand site usage. Most browsers let you refuse or delete cookies through their settings, though some Site features may not work properly without them.
6. Data Retention
We keep client and coaching information only for as long as you are an active client, after which we take steps to delete or de-identify it. We may retain certain records longer where necessary to meet legal, tax, or accounting obligations (for example, transaction records), and newsletter subscription information is kept until you unsubscribe.
7. Data Security
We take reasonable measures to protect the information we collect. Sensitive payment information is handled by PayPal and Stripe using their own security systems rather than stored on our Site, and EQ assessment results are processed on our assessment provider’s platform. However, no method of transmission or storage over the internet is completely secure, and we cannot guarantee absolute security.
8. Children’s Privacy
Our Site and services are intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information through the Site, please contact us at amy@ovation.coach and we will delete it.
9. Your Choices and Rights
You may:
- Unsubscribe from our newsletter at any time using the link in any email, or by contacting us;
- Contact us at amy@ovation.coach to ask what information we hold about you, to request corrections, or to request deletion where applicable.
Depending on where you live, your state may give you certain rights regarding your personal information, such as the right to know what we collect or to request deletion. We do not sell personal information. To make a request, contact us at the email above.
10. Third-Party Links and Services
Our Site links to and relies on third-party services, including PayPal, Stripe, Calendly, AWeber, our EQ assessment provider, and Google. We also link to external sites such as LinkedIn. We are not responsible for the privacy practices of these third parties, and we encourage you to review their privacy policies before providing information to them.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Effective Date” above. We encourage you to review this page periodically.
